Features:
Product and Service Management
• Product families supported to allow for "product lines", "departments" or product categories. • Unlimited number of product specifications and product options may be specified. • Product inventory control quantity values: in-stock, in-reserve, on-order, on-back-order. • Product fields include: name, code, description, price, cost, vendor, serial, discontinued, warranty, etc. • Separate shipping required, shipping cost, and handling cost fields provided for each product. • Standard services can be generated through the service management screens. • Standard service fields include: name, code, description, price, cost, vendor, tax exempt, comments, etc.
Contact and Project Management
• Company management screens supplied to add/edit companies (that own projects, contacts, & contracts). • Contact management screens for adding/editing contacts, accounts, passwords, employee info, etc. • Project management screens included for creating projects and updating general project information. • E-mail notifications are optionally sent to the project team when a new project is created. • Security group (project team) management screens for integration with Project Soft. • Project tasks can be sorted by category & have items linked to them, such as: specs, notes, attachments, etc. • E-mail notifications are automatically sent to the prime person when a project task is created or re-assigned.
Quote and Order Management
• Quotes can be subject to approvals through their work-flow statuses, and converted to an order effortlessly. • Quote fields include: name, status, contact, contract, PO, desired deliv. date, tax exempt, special instr., etc. • Quote line items can be comprised of products and services. • Product line items include fields for product options and quantity, as well as ID, name, and description. • Service line items are generated from a: project task, standard service, or entered as a free-form service. • Service line items include fields for the service description, project task, hourly rate, and comments. • Descriptions for service line items created from project tasks are filled in automatically from the task descr. • Shipping, handling, and tax are automatically applied to the order total via easily set configurations. • Order line item statuses provide a way to send partial orders to customers. • Professional quotes & orders are available to print or send in e-mails (one file, no images only HTML).
Contracts and Reports
• Contracts are named, and are driven through a work-flow with required statuses. • Contract fields include: name, type, status, description, terms, length, warranty info, etc. • Reports/detailed listings for: companies, contacts, products, services, projects, contracts, quotes, & orders.
Configurations and Security
• Selling company information used for quotes and invoices is selected from a list of companies in the system. • Configurations for subtracting from in-stock and in-reserve inventory levels at order generation time. • Configuration for displaying the order line item statuses, such as: pending, on back order, shipped, returned. • All products, services, and states may be configured to be tax exempt on quotes and orders. • Separate tax rate configuration fields for products and services. • Configurable text message that is displayed on orders (such as: 20% off on subsequent orders, etc). • E-mails may be sent by any administrator to: teams, contacts, or comma separated lists. • Project access is restricted with the use of security groups (depts/project teams). • Each employee/contractor will have their own login and can add/edit project tasks, task hours, etc.
